When the work is wrong
Write it down, and give the firm a chance to fix it.
Write it down on the day
Photograph the defect, note the date, and write one sentence on what was agreed. Send that to the firm while the work is fresh. A message in German from the messages guide is enough if you keep it short.
The firm gets a chance to fix it
For a contract to produce a piece of work, the usual first claim is that the firm puts it right (Nacherfüllung). Refusing to pay the whole sum on day one, with no chance to fix, is a weak position. Say what is wrong and give a date by which you need the repair.
For work on a building, the limitation period in § 634a (1) No. 2 BGB is five years. Other work is two years under No. 1 of the same paragraph. The clock and the exceptions are in the statute.
